After years of trying to do too many things at once, I’ve come to the conclusion that our brains are not built for multitasking, at least mine isn’t. It’s like giving your brain a cozy little nook to settle into, eliminating distractions and enhancing productivity. Plus, there’s something incredibly satisfying about checking off completed tasks in a focused block of time. I hope I’m not the only one who loves checking something off in my paper planner!

You may be tempted to skip breaks; I don’t know what to say about that because I’m guilty of that as well. If I’m in the zone, sometimes I skip breaks too. Although, ideally you’ll take a few minutes, every hour or so, to get up and move around a bit and perhaps refill your water bottle.

4. Stick to It

Here’s where the magic happens. Commit to your time blocks as if they were appointments. This helps you respect your schedule and stay focused. Treat your time like the precious commodity it is! There will always be things ready to distract you. And dang, it we aren’t extra easy to distract these days, but do what you need to do to commit to your prescheduled time blocks. Turn off your phone or leave it in the other room, wear earplugs or earbuds (even if they’re not on, just to signal to people that you’re busy), and shut your office door if you need to.

5. Reflect and Adjust

At the end of your first week of time blocking, take a moment to reflect. What worked? What didn’t? Adjust your blocks as needed to find your groove. Keep working on it until you get a schedule that works for you.

The Ultimate Time Blocking Hack

I have a time block specifically for eating frogs! Not actual frogs but those tasks that you put off over and over…and over and over. Twice a week I have a block of time where I complete all those necessary tasks that just need to get done.

Do you want to know the craziest thing?! I scheduled two, half hour time blocks, and at first that didn’t seem like enough time. I quickly discovered that most of those dreaded tasks could actually be completed in a very short amount of time. I end up with time left over, all the time! Just goes to show you that oftentimes, those tasks hanging over your head aren’t really that big of a deal at all!

Now, don’t get me wrong—time blocking doesn’t mean you’re chained to your desk. Life happens, and sometimes you need to pivot. The beauty of time blocking is its flexibility. If something urgent comes up, simply adjust your blocks. So, if your friend suddenly invites you for coffee, go ahead and shuffle those blocks around.

I focus mainly on time blocking during my work time so when I’m finished with work, I’m truly finished with it. If you are the kind of person who isn’t used to being fully present when you’re with family or friends, you may actually need to time block even for that, as you train yourself to be more intentional in your personal relationships.

Time Wasters That Might Get in the Way of Time Blocking

When did we decide that doing one thing at a time was a bad thing?? I’m thinking it was around the time that certain technologies came strongly onto the scene, including earlier tech like TVs. Addictions to tech, televisions, gadgets, smart phones, social media and reading ALL the information at our fingertips, take up hours of our day!

Even if you don’t think you have that problem, I would challenge you to put any and all gadgets away in a drawer, turn off the TVs, radios and noises for an entire evening and see how you feel after a couple of hours away from your screens. You may be surprised at how jittery and uncomfortable you feel at first. Keep doing it though! You deserve to get all of your tasks completed without the distractions that you CAN train yourself to eliminate.

Also, your family and friends deserve to have all of your attention when you’re with them. Half-listening to them while you scroll, text, email and zone out staring at a screen, isn’t doing anything productive for your life, family or relationships. In fact, it’s weakening your bonds when you don’t prioritize them over the screens.
